Running a Business Is Hard Enough.

You didn’t start your business to spend evenings sorting files, fixing bookkeeping mistakes, or answering the same process questions over and over. But over time, things pile up.Folders multiply.
Processes live in someone’s head.
Financials get “good enough.”That’s normal.
Most growing businesses go through it.
The fix isn’t working harder.
It’s putting the right structure in place.
You're the one who knows where everything is.
Month-end feels heavier than it should.
Hiring creates more questions than relief.
Your'e not behind - but you're not fully confident either.
Things work... but only because you're holding it together.

Hi! I'm Cori, the face behind Cool Sam. I work with small business owners across Southern Alberta — from Calgary to the Foothills — to build practical systems, clean financial operations, and repeatable processes — So your business runs on structure, not memory.I don't just hand you a plan. I stay until it's actually working.

So your team stops guessing and starts doing.
So your numbers tell you what's actually going on in your business.
So the work gets done the same way, every time.
So the plan, turns into reality.
"The goal is simple: do the hard thinking once, so the work gets easier every time after."

Right now, your business runs on tribal knowledge. Your team knows what to do because they've watched you do it, or they ask you, or they guess. Files live in three places. The "system" is whoever's been there longest. It works — until it doesn't. Until someone leaves, or you're away for a week, or you want to hand something off and realize there's nothing to hand.I start by mapping how your business actually operates — not how it's supposed to, but how it really runs day to day. Where information lives. How work moves between people. Where things slow down, get dropped, or land back on your desk. Then I design systems that hold that knowledge for you, so your team can move without guessing and you can step back without things falling apart. What this includes:- Business systems mapping
- File structure and permissions design
- Software selection and implementation
- Workflow design
- Data organizationBefore: Your team guesses, asks you, or waits. Files live in three places. The "system" is whoever's been there longest. After: Work moves without you. Your team knows where things are. New people ramp up without a month of shadowing. The outcome: a business that runs on structure, not memory.
Most small business owners know roughly how they're doing. But "roughly" is doing a lot of work. The books are a few months behind. Reconciliation happens when there's time. You make decisions based on what's in the account, not what's actually true. That's not a character flaw — it's what happens when financial admin gets squeezed in around everything else.I build the financial foundation your business should have been running on. Clean records. Consistent month-end processes. Reporting that tells you what you actually need to know — not just what happened, but what it means. I set up the systems, catch up what's behind, and make sure your team can keep it running consistently once I'm gone. What this includes:- Bookkeeping setup and catch-up
- Month-end reconciliation
- Payroll and AP/AR processes
- Financial reporting for ownersBefore: The books are behind. You're estimating. Your accountant asks questions you can't answer quickly. After: You know your numbers. Decisions are based on real information. Month-end runs without a scramble. The outcome: numbers you trust and a financial system built for growth.
When your team is small, inconsistency is manageable. Everyone figures it out, and you catch what slips. But as you grow — more staff, more clients, more moving parts — the gaps get expensive. Things get missed. Quality varies. You spend time fixing work instead of doing it.The problem usually isn't the people. It's that no one ever wrote down how things should go.I turn the informal knowledge in your business into documented, repeatable processes your whole team can follow. I find out how work actually moves through your organization, identify where it breaks down, and redesign it — then document it in a way that's actually usable, not just filed away. We train your team on the changes and make sure ownership is clear so it doesn't quietly drift back to how things were. What this includes:- Process discovery and redesign
- SOP documentation
- Role clarity and handoff definition
- Staff training and change management supportBefore: Everyone does it differently. Things fall through the cracks. You're fixing mistakes instead of preventing them. After: The same task gets done the same way every time. New hires ramp up faster. Your team isn't waiting on you.The outcome: consistent work, confident team, less dependence on you.
A lot of consultants hand you a report and leave. You've got a plan, maybe a binder, and a growing sense that nothing is actually going to change. That's not how this works.Implementation is where most of this work lives. Once we know what needs to be built, I stay involved through the build — setting up tools, integrating systems, testing what we've designed against how your team actually works, and training your people until it sticks. If something isn't landing the way it should, we adjust. The goal isn't a deliverable. It's a business that runs differently on the other side. What this includes:- Hands-on tool setup and configuration
- System integration and testing
- Team training and adoption support
- Ongoing adjustment until it sticksBefore: You have a plan but nothing has changed. Tools are set up but nobody's using them. The consultant is gone. After: The systems are running. Your team knows how to use them. The work is different, not just documented. The outcome: solutions that are used, not just documented.
Cool Sam engagements are scoped to what your business actually needs — not packaged up and sold off a shelf.More than a bookkeeper. A fraction of what a consulting firm charges. Scoped to what you actually need.Every engagement starts with a free 20-minute conversation. From there, I'll tell you exactly what I'd recommend, what it involves, and what it costs — before you commit to anything. Most engagements are fixed-scope and flat-rate, so you know the number upfront. No open hourly meter. No surprise invoices.A good place to start:If your books are behind and year-end is looming, that's usually the first thing we tackle together. It's a defined engagement — clean up what's there, get you through year-end, and set up a system so next year doesn't feel like this one. Straightforward scope, flat rate, quoted after your check-in.From there, clients typically move into ongoing systems or process work — or just come back when the next thing needs fixing.

Hi, I'm Cori Thompson, founder of COOL SAM.
I was born and raised in the Foothills of Alberta— on a farm outside of Diamond Valley, the kind of place where you know your neighbours and you figure things out yourself. That's shaped everything about how I work.I've spent my career building operational foundations for organizations that needed them — in a tech startup at Atrema Technologies, in the community as a co-founder and Treasurer of the Diamond Valley Youth Foundation, and in hands-on operations management across the region. When the timing was finally right, I launched Cool Sam to do what I've always done — but for the small business owners and communities I care most about.DVYF is something I'm extremely proud of. 5 women, 1 big idea, and a "let's just do it" moment that has turned into four years of fundraising, community programs, Tim Hortons Smile Cookie partnerships, and grants that support youth across the Foothills. We built something real from nothing. That's what I do.Outside of work, I'm a mom of two, a wife, a pet wrangler, a deeply involved community member, and the kind of person my people call when they need someone to show up and hold things together. I think that says something about how I work too. When you work with Cool Sam, you're working with someone who understands what it actually takes to build something — and who genuinely wants to see your business thrive.Calm operations. Confident growth.
Practical solutions teams actually use. Not theory. Not binders no one reads.Respect for people + precision. Thoughtful ops that adapt as you grow.Your success = my success. When your team runs smoothly without you, I've done my job.
